The scenario of this report determines the requirement of communication skill while working in a business. In this regard, it is required to analyze the effectiveness of oral and written communication that can assist in building positive relationship with staff and clients.

  • Determine how a business can communicate by considering communication methods, system and models.
  • Evaluate effectiveness of oral communication by considering role play for interview panel.
  • Describe the effectiveness of written communication by providing examples in a specific format.

INTRODUCTION

Communication is the process of where in sender has an idea,facts, message, information, opinion or emotions which he exchanges or transmit to the receiver by using various channels and receives a response or feedback in return of it. Effectiveness in communication is of vital significance so that work and activities could be performed on time with in best possible way. Although communication is to subject to various barriers which if not handled effectively hampers work efficiency and performance but communication in any situation forms the life blood of a firm.

This assignment will discuss about various communications models, systems, types of communications and their associated benefits. It will also give a brief about technology used for communication by a firm. Further it will explain importance of effective oral communications through a role play script and will also give illustration of effective written communication.

Oral Communication

Oral communication refers to communicating with each other by using different forms such as telephonic conversion, speeches, presentations, discussions etc. There is an example which shows significance of oral communication in organisation. This form is generally used by organization at the time of conducting meetings, group discussions, conferences and so on as it provides quick and spontaneous feedback. It enables management to maintain good interpersonal with its workforce and to remove their doubts and address their issues. Mentioned below is the illustration depicting oral communication:-

Customer Care Department: Hello Sir! Good Morning. My name is John. How can I help you?

Customer: Hello! I am Tom from California. I have a serious issue to notify you about. Its been 5 days since I had placed an order of earrings that I have not received till no. The expected date of my parcel was suppose to be 2 days before and yet I have not got the delivery. Can you let me know the status of my order as I it was on urgent basis.

Customer Care Department: Sorry for inconvenience Sir. As per our company's policies we make sure that our customer receives their order within three days from the date when they have placed it. But since you have not received it yet, please let me check it for you. But in case you did not received offer, let me check your order. May I know your order number?

Me: 58469751234

Customer Care Department: Sir! As per the details showing on our system your order has been dispatched from our side and it was cancelled due to absence of any response from recipient.

Customer: How could it be cancelled when I have not received any call from your side regarding the delivery of my order. As per your policies you guys are suppose to make a call to consumer at time of delivering the order. This is sheerly disappointing. If I would have known it I never would have shopped from your company. It's better you cancel my order now.

Customer Care Department: Sir we are extremely sorry for this inconvenience caused to you, be assured your parcel will be delivered to you soon. Kindly give provide me time till tomorrow. This episode wont be repeated again.

Me: That's ok John. But as I told you that order I places was on urgent basis. It supposed to be someone's gift. So after tomorrow it wont be of any use for me. Thank-You for your concern. I will wait for the product till for the parcel till tomorrow otherwise will cancel order. As I need it on urgent basis, so afterwards it will be of no use.

Customer Care Department: I understand your concern sir. I am assuring you that you will receive your order any how till tomorrow evening. This is the best I could promise you.

Me: Ok. If you are so sure of it then fine I will wait for the product till tomorrow. In case I did not receive my parcel considered it cancel from my side.

Customer Care Department : Ok Sir. For any further assistance kindly contact on 435665656. Thank you for calling ! Have a good day !

Me: OK! Thank you.
